Here is a basic checklist for conference and event management:

  5. Select a venue: Choose a location that is convenient and suitable for the size of the event and the type of attendees.
  6. Plan the event agenda: Determine the schedule of events, including keynote speakers, panel discussions, networking opportunities, and any other activities.
  7. Secure high-profile speakers and presenters: Invite well-known experts in the field to speak at the conference to attract a larger audience and increase the conference’s prestige.
  8. Create opportunities for networking and interaction: Organize activities and events that encourage attendees to interact and network with each other, to enhance the overall experience.
  9. Arrange for logistics: Book audio-visual equipment, transportation, and accommodation for attendees and speakers, as well as catering and any other necessary services.
  10. Promote the event: Develop a marketing and communication plan to reach the target audience and build buzz for the event. Utilize social media and other digital platforms to reach a wider audience.
  11. Manage registration: Set up a registration process for attendees and keep track of RSVPs.
  12. Coordinate with vendors: Work with vendors and suppliers to ensure everything runs smoothly on the day of the event.
  13. Provide excellent customer service: Ensure that all attendees, sponsors and exhibitors are taken care of during the conference and that they are satisfied with their experience.
  14. Prepare for contingencies: Have a plan in place for unexpected issues that may arise, such as weather or technical difficulties.
  15. Have a strong crisis management plan in place: Be prepared for any eventualities and have a solid crisis management plan in place in case of emergencies or unexpected issues.
  16. Maintain a high level of security: Plan for potential security threats and ensure that there is adequate security at the conference venue.
  17. Actively manage the conference budget: Ensure that all expenses are tracked and that the conference is run within budget.
  18. Evaluate the event: After the event, gather feedback from attendees, thank attendees for their participation, measure the success of the event against the objectives, and document lessons learned.
